LAELIA CHAMBERS — PRIVACY POLICY

Last updated: 27 October 2026

1. About this policy

This policy explains how Laelia Chambers LLC (UEN 202622998M) ("we", "us", "our") handles personal data collected through this website at www.laeliachambers.com, and through the enquiry form, e-mail, telephone and WhatsApp links on it. We handle personal data in accordance with the Personal Data Protection Act 2012 ("PDPA").

If you become our client, the personal data in your matter is handled under the privacy terms and letter of engagement we give you then, which govern in place of this policy. As a law practice we are also bound by duties of confidentiality under the Legal Profession Act 1966 and the Legal Profession (Professional Conduct) Rules 2015. Those duties are wider than data protection law and apply to all client information, whether or not it is personal data.

2. Personal data we collect through this website

  1. Enquiry form. Your first name, last name, e-mail address, telephone number if you give one, and whatever you write in the enquiry field.
  2. Messages you send us. If you contact us by e-mail, telephone or WhatsApp using the links on this site, we receive your contact details and the contents of your message. WhatsApp is operated by a third party and your message passes through its service before it reaches us.
  3. Cookies and analytics. Information about your visit, including pages viewed, the site you arrived from, approximate location derived from your IP address, and device and browser type. Section 6 explains the cookies we use.
  4. Spam protection. Our contact page uses Google reCAPTCHA, which collects information about your device and your interaction with the page in order to tell a person apart from an automated script. This happens when you open the contact page, whether or not you send us anything.
  5. Server and security logs. Our website provider records technical information such as IP address, request times and error data, which is used to run and protect the site.

We do not ask for your NRIC or passport number, financial details or identity documents through this website, and you should not send them through it. If we accept your instructions, we will collect what we need directly and by a secure route.

3. What we use it for

  • responding to your enquiry and corresponding with you about it;
  • carrying out a conflict of interest check and, where relevant, client due diligence, before deciding whether we are able to act;
  • keeping a record of enquiries we have received and of conflict checks we have carried out;
  • operating, securing, maintaining and improving the website, including protecting it from spam and automated abuse; and
  • complying with our legal, regulatory and professional obligations.

We rely on your consent, which you give by choosing to send us an enquiry or a message, and on the exceptions permitted by the PDPA where they apply. We do not sell personal data, and we do not use information from this website for advertising.

4. Sending us an enquiry

  1. Sending an enquiry does not make you our client. A solicitor–client relationship arises only once we have completed our conflict and client due diligence checks, confirmed in writing that we are able to act, and you have signed our letter of engagement.
  2. Please keep your enquiry in outline. Give the names of the parties and a short, non-confidential description of the matter. Until we have run a conflict check, we do not know whether we already act for someone on the other side.
  3. Where your enquiry goes. It is sent by e-mail to a Laelia Chambers mailbox and a copy is held in our website provider's system. It is read for the purpose of the conflict check and of deciding whether we can act. We keep it confidential.
  4. If we cannot act, we will tell you, and we will delete your enquiry within 12 months. We keep a short conflict-check record — the names of the parties, a one-line description and the date — for as long as we are in practice, because that record is the only way for us to check in future whether we are able to act against someone we have been approached about before.
  5. Urgent matters. We give no undertaking to respond within any particular time. If your matter is urgent or a deadline is approaching, please telephone +65 8905 5287 rather than relying on the form.

5. Who we share it with

We disclose personal data from this website only as far as necessary, and to:

  • Squarespace, which hosts the website and processes form submissions and analytics data on our behalf;
  • Google, which provides the reCAPTCHA spam protection on our contact page and the e-mail service through which your enquiry reaches us;
  • our professional indemnity insurers, auditors and professional advisers, where relevant; and
  • regulators, courts, law enforcement and other authorities where required or permitted by law.

Our service providers act on our instructions and are required to protect personal data to a standard comparable to that required by the PDPA.

6. Cookies and analytics

A cookie is a small file placed on your device by a website. We use the cookies set by our website provider, Squarespace:

Cookie Type Duration What it does
crumb Essential Session Protects the site and its forms against cross-site request forgery. The site cannot work securely without it.
ss_cvr, ss_cid, ss_cpvisit Analytics Up to two years Recognises returning visitors so that visit numbers are not double-counted.
ss_cvt, ss_cvisit Analytics 30 minutes Tracks a single visit as one session.

The analytics cookies tell us how many people visit the site, which pages they read, roughly where in the world they are and which site they arrived from. They are used only to understand how the site is being used. We do not use advertising or tracking pixels, and we do not use Google Analytics.

Our contact page also loads Google reCAPTCHA, which may set its own cookies on Google's domain. Google's privacy policy governs what Google does with that information.

You can refuse or delete cookies through your browser settings. If you block the essential cookie, parts of the site, including the enquiry form, may not work.

7. Transfers outside Singapore

Personal data collected through this website is processed outside Singapore in the following ways. Our website provider, Squarespace, contracts through Squarespace Ireland Limited and may store and process data on servers in the United States; its data processing addendum forms part of its terms of service and applies to our account. Google, which provides the reCAPTCHA spam protection and our e-mail service, may process data in the United States. If you contact us through the WhatsApp link, your message passes through a service operated by Meta outside Singapore before it reaches us. Where personal data is transferred outside Singapore, we take steps to ensure the recipient is bound by legally enforceable obligations to provide a standard of protection comparable to that under the PDPA, as required by section 26 of the PDPA and the Personal Data Protection Regulations 2021.

8. How we protect it

The site is served over an encrypted connection (HTTPS). Enquiries are delivered to a mailbox we control and are also held in our website provider's system; access to both is restricted to us and protected by account security controls. We keep our devices and software up to date and review our security arrangements regularly. No method of transmission or storage over the internet is completely secure. Please do not send sensitive documents through the form; we will give you a secure route once we are able to act for you.

9. How long we keep it

We keep enquiries only as long as we need them, and no longer than is necessary for our legal and business purposes, as section 25 of the PDPA requires.

  • Enquiries that do not become matters: 12 months, after which the enquiry is deleted both from our mailbox and from our website provider's system.
  • The conflict-check record: the names of the parties, a one-line description of the matter and the date are kept beyond that period, because a conflict of interest can only be checked against a record of who has approached us. The record is deliberately minimal and is reviewed every three years.
  • Enquiries that become matters: the material is transferred to the matter file and kept for 7 years after the matter closes, or longer where the law, a court order or a claim requires it.
  • Analytics data: for as long as it is held in our Squarespace account. We do not keep a separate copy.

10. Your rights

  • Access. You may ask what personal data about you we hold and how it has been used or disclosed in the past year.
  • Correction. You may ask us to correct an error or omission.
  • Withdrawal of consent. You may withdraw your consent on reasonable notice, and we will tell you the likely consequences.

Write to our Data Protection Officer at the address in section 13. We will respond as soon as reasonably possible and within the period required by the PDPA and its Regulations. We may charge a reasonable fee for an access request and will tell you the amount before we proceed. We may withhold information where the PDPA permits, including information subject to legal privilege or belonging to another person.

11. Data breaches

If a data breach occurs, we will assess it promptly and, where the PDPA requires, notify the Personal Data Protection Commission and the individuals affected.

12. Other websites

This site links to third-party services, including WhatsApp. We are not responsible for their privacy practices, and their own policies apply when you use them.
